The Construction Management Subsystem (CMS) is part of ExeVision’s iPDWeb platform and provides a centralized, web-based environment for tracking day-to-day construction activities. Designed to support field and office personnel, CMS helps agencies manage project documentation, record quantities, and process contractor payments with greater speed and accuracy.

CMS integrates seamlessly with ExeVision’s eFieldBook™ tablet application, enabling inspectors and engineers to collect field data offline and sync it directly with the central CMS once connected. This integration ensures that field observations and quantities are reflected in real time across the broader construction record.

​

Agencies can use CMS to capture a wide range of data: daily diaries, weather conditions, labor and equipment usage, work performed, and subcontractor activities. The system supports both web-based entry and field-based submission, maintaining a complete, auditable record of project progress.

​Users can generate reports and dashboards using a built-in ad hoc reporting engine, making it easy to monitor progress, funding status, and percent complete—all based on the most current project data.

The core workflow of CMS—recording activities, generating pay estimates, and processing approvals—is designed to be straightforward and efficient. At the same time, CMS supports a wide range of related project data, including documentation, change tracking, and reporting, to ensure comprehensive oversight of the entire construction process.

Daily Reporting

ExeVision’s construction management system includes comprehensive tools for creating and managing daily reports that capture all key aspects of project activity. Each report allows agency staff or field personnel to document contractor work performed, project activities, contractor and subcontractor notes, and notable job site events.

 

Daily reports can include labor and equipment usage, materials placed, productivity metrics, weather conditions, and other field observations. Supporting files such as documents, photographs, and notes can be attached to create a complete and searchable project history.

 

Reporting is fully integrated with eFieldBook, ExeVision’s tablet-based field application, enabling inspectors to record daily information—including photos, weather, productivity notes, and quantities—directly from the job site. This ensures daily reports are accurate, timely, and easily accessible within the CMS for reference, review, or reporting.

Daily Placements & Project Ledger

As daily work is performed, field personnel enter quantities directly tied to the agency’s established pay items. These placements are automatically recorded in the project ledger, where they form the basis for progress tracking, quantity validation, and pay estimate generation. The ledger provides a centralized, running account of all work performed—organized by item, date, and location—to support real-time visibility into project activity and earned value.

In addition to tracking daily placements, the ledger includes tools for managing key financial elements such as stockpile usage, payment adjustments, and payment holds. These functions help ensure that pay estimates accurately reflect project conditions and contractual terms. All entries flow directly into financial summaries, allowing project managers and accounting teams to maintain a clear, up-to-date view of project status and funding performance.

Funding and Payment Processing

Contracts can be tied to one or more funding sources at multiple levels—from the overall project down to individual items. Funding can be assigned by percentage, with optional minimum and maximum thresholds, and set to automatically shift (or “roll over”) to the next funding source once a limit is reached.

As work is completed, entries are compiled into pay estimates. Authorized users can select which items to include, and calculations update in real time to accurately reflect item-dependent amounts like mobilization or fuel adjustments. Any items not yet approved are automatically carried forward to future pay estimates until they are included.

​

Agencies can define custom approval workflows to manage pay estimate reviews, ensuring each estimate is properly routed and approved before release. Once approved, pay estimate reports can be emailed directly to the appropriate contacts—such as accounting staff or project stakeholders—using a predefined list of personnel linked to the contract.

Change Orders and Subcontracts

Change orders are created and managed directly within the agency’s construction management system, iPDWeb CMS. Once approved, change orders automatically update the project’s items, quantities, and financials—ensuring that all downstream tracking, funding, and reporting reflect the most current project scope. This seamless integration reduces manual updates and keeps the entire project record consistent and auditable.

To streamline collaboration, ExeVision connects the agency and contractor through iCXWeb, the contractor’s web-based portal. Change orders and subcontract details flow automatically between iPDWeb and iCXWeb, eliminating redundant communication and keeping both parties aligned.

Contractors use iCXWeb to manage subcontracts, including payment tracking, and to coordinate with agency staff on approvals for change orders and subcontractors. The system proactively notifies both contractors and agencies when a change order may affect DBE commitments, helping maintain compliance throughout the project.

​

Contractors also use iCXWeb to record payments to subcontractors, and this data syncs with the agency’s CMS to support ongoing monitoring of prompt payment and other compliance requirements. When enabled, contractors can also review and acknowledge agency-issued payments and time charges through the system.

Field Data Collection for Construction Projects

eFieldBook is a tablet-based application that enables inspectors and engineers to document construction activities directly at the job site—even in areas without internet connectivity. Developed to work seamlessly with ExeVision’s Construction Management System (CMS), eFieldBook extends the power of the office to the field, supporting consistent, detailed project tracking in real time or offline.

Using eFieldBook, field personnel can record quantities of work completed, contractor and subcontractor labor and equipment usage, productivity, and weather conditions. The system also supports diary entries, inspection notes, material sampling data, and any instructions given to the contractor. Field data is entered in a structured format aligned with agency standards, reducing inconsistencies and simplifying review and approval workflows.

Project information—including pay items, project settings, and relevant documentation—is downloaded from the agency’s CMS to the inspector’s device. Once reconnected, eFieldBook automatically synchronizes data, uploading new entries and integrating them into the broader project record. The system manages contributions from multiple inspectors working on the same project, ensuring a unified and accurate view across all users.
